1. What This Policy Covers
This policy explains what information Spoken Kitchen collects, why we collect it, who we share it with, and the control you have over it. It applies to the Spoken Kitchen website and application. It works alongside our Terms of Service, which govern ownership of the content you create.
2. Information You Give Us
Account information. Your email address, an optional display name and avatar image, your preferred language, and any accessibility preferences you set (such as larger text or reduced motion).
Content you create. Audio recordings, photos, and videos you upload; the recipe text produced from them; the names, notes, and ingredient glossary entries you write; and the names and email addresses of family members you invite to a cookbook.
Order information. When you buy a cookbook or order printed copies, we collect the shipping name, postal address, phone number, and email needed to fulfil and deliver the order. Card details are entered directly with our payment processor and never reach our servers.
3. Information We Collect Automatically
Product analytics. We record which features are used and when — a recipe was started, a recording finished, a cookbook was exported. These events carry internal identifiers, not the contents of your recipes or recordings. Analytics profiles are only created for signed-in users, and we honour your browser's Do Not Track setting.
Error monitoring. When something breaks, we receive a diagnostic report so we can fix it. Session replays are captured on errors only, and all on-screen text is masked before the report leaves your browser.
Activity history. Within a cookbook we keep a log of significant actions — who edited a recipe, who invited a member — so collaborators can see how their cookbook changed over time.
4. How AI Processing Works
Turning a recording into a recipe requires sending it to AI providers. Your audio is transcribed, the transcript is structured into ingredients and steps, and text is translated when you request a bilingual recipe. This processing is routed through OpenRouter, which passes the request to the underlying model provider.
We send only what the task requires, and we do not use your content to train our own models. Retention and training practices at the model providers themselves are governed by their policies rather than ours; we select providers on the basis of those policies and will update this section if our routing changes.
5. Who We Share Information With
We share information with the service providers who make Spoken Kitchen work, and only to the extent each one needs:
- Supabase — accounts, authentication, and the application database
- Cloudflare R2 — storage of your recordings, photos, and videos
- OpenRouter — transcription, recipe structuring, and translation
- Stripe — payment processing
- Lulu — printing and shipping of physical cookbooks
- Resend — transactional email such as invitations and order updates
- PostHog — product analytics
- Sentry — error monitoring
We may also disclose information where the law requires it, or where it is necessary to protect the rights and safety of our users. If Spoken Kitchen is ever acquired, your information would transfer to the new owner under the terms of this policy, and we would tell you before that happened.
6. Sharing Within a Cookbook
A cookbook is shared by design. Members you invite can see the recipes, recordings, and photos in that cookbook according to the role you give them, and can see your display name and activity in its history. Invitations and print-access links grant access to whoever holds them, so share them only with people you trust.
7. How Long We Keep Things
Your recipes, recordings, and photos are kept for as long as your cookbook exists. Each purchase includes an active creation period, after which the cookbook becomes permanently readable but no longer editable.
Deleting a cookbook or your account starts a 30-day recovery period. During that window you can restore what you deleted; afterwards it is removed permanently, and deletion propagates to the stored media. Records we must keep for tax and accounting purposes — such as proof of a purchase — are retained as the law requires.
8. Your Choices and Rights
Export. You can download your complete archive — every recipe, every original recording, every photo, plus machine-readable data — at any time, for free.
Correction and deletion. You can edit your account details and recipe content at any time, and you can delete individual recipes, an entire cookbook, or your whole account from within the app.
Access and objection. Depending on where you live, you may have the right to request a copy of your personal information, ask us to correct or erase it, object to certain processing, or complain to your local data protection authority. Write to us and we will help.
9. Cookies
We use cookies that are necessary for the service to function — keeping you signed in, remembering your language, and carrying gift claims through checkout. We do not use advertising cookies and we do not allow third parties to track you across other websites.
10. Security
Data is encrypted in transit and at rest. Access to a cookbook is enforced at the database level, so members can only reach the cookbooks they belong to. Uploads are made directly to storage using short-lived, single-purpose links. No system is perfect, but your recordings are treated as irreplaceable: we never overwrite them and we keep them playable and exportable.
11. International Transfers
Our service providers operate in the United States and elsewhere, so your information may be processed outside your country. Where the law requires safeguards for those transfers, we rely on the standard contractual protections offered by each provider.
12. Children
Spoken Kitchen is intended for adults. We do not knowingly create accounts for children under 13. Children often appear in family recordings, and that content belongs to the account holder who uploaded it. If you believe a child has created an account, contact us and we will remove it.
13. Changes to This Policy
We may update this policy from time to time. We will notify you of significant changes by email, and the date below will always show when it last changed.
